These policies explain how bookings, tutor applications, payments, cancellations, payouts, safety, liability, and personal information are handled across the Academic Tutoring Toronto website and admin systems.
We collect the personal information reasonably needed to operate the service. For family bookings, this includes parent or guardian name, email, phone number, student first name, grade, subject, session format, requested dates and times, location preferences, notes you submit, and the plan or package selected. When payment is made, Stripe also processes your transaction and provides us with payment status and checkout metadata needed to match the payment to your booking request.
For tutor applications, we collect legal name, date of birth, phone number, email address, mailing address, education and teaching background, city, subject and grade preferences, short bio, government ID upload, and profile photo. For approved tutors, we also create and manage a tutor account and may store account identifiers, profile information, job activity, and banking details submitted for weekly payouts, including legal name, institution number, transit number, and account number.
Your information is used to review applications, verify identity, create and manage tutor accounts, match bookings, communicate about sessions, process payouts, maintain business records, investigate complaints, and enforce site policies. Information may be stored or processed through service providers and internal systems we use to run the business, including Stripe for payments, Firebase for tutor authentication and account access, and Google services such as Google Sheets, Google Drive, and Google Apps Script for application, booking, and operational records.
We do not sell personal information. We limit access to people who need the information for service delivery or administration. Because absolute security cannot be guaranteed, you should not send information you do not want stored in business systems. You may contact us to request access to or correction of your personal information. We retain records only as long as reasonably necessary for service delivery, safety, dispute handling, tax, accounting, or legal compliance, after which they may be deleted or anonymized.
Submitting the booking form and completing checkout creates a paid booking request. It does not guarantee that the exact tutor, date, time, location, or format you requested is instantly confirmed. A booking is finalized only after we review the request, verify payment, and confirm staffing and scheduling availability.
You agree to provide accurate information, to book on behalf of the student with appropriate parental or guardian authority, and to monitor the accuracy of requested dates, times, contact details, and location information before payment. We may contact you to clarify details, propose a revised schedule, confirm the session format, or recommend a different tutor match when needed.
We may refuse, pause, or cancel a booking where information is incomplete, payment is not verified, availability changes, safety concerns arise, a proposed location is unsuitable, or a tutor cannot reasonably be staffed for the request.
Submitting a tutor application does not guarantee approval, profile activation, or lead volume. Applications are reviewed manually, and we may request additional verification before any tutor profile is activated.
Approved tutors are expected to follow professional conduct standards, maintain reliable attendance, and communicate scheduling issues early.
If a tutor claims a job and then fails to log session completion within a reasonable window (typically 14 days unless otherwise documented), this may be treated as job abandonment and grounds for immediate removal.
For active tutors, performance enforcement follows a three-strike model: first no-show or late cancellation may receive a warning, second offense may result in a 2-week suspension, and third offense may result in permanent removal.
Payouts are issued via direct bank transfer every Friday for sessions completed and approved during the previous Monday-Sunday payout window. Sessions logged or approved after that cutoff roll into the following Friday cycle. A minimum approved payout balance of $50 is required before a transfer is released.
Unless a different written rate is expressly confirmed for a specific booking, Academic Tutoring Toronto currently retains 25% of the booked session revenue as the platform and administration fee, and the tutor is paid the remaining 75% approved tutor payout amount for that booking.
Tutors operate as independent contractors, not employees. Each tutor is solely responsible for registering, reporting, and remitting their own income taxes and any other statutory deductions or filings required by law. Government ID, profile photo, application records, account data, and banking details may be retained for verification, payout administration, fraud prevention, tax reporting support, and internal recordkeeping.
In-person sessions are arranged in public library settings or other mutually agreed public locations. A parent or guardian remains responsible for the student before and after the session, including drop-off and pickup.
For online sessions, families are responsible for ensuring the student is in a safe, appropriate learning environment. Reasonable supervision should be maintained when appropriate for the student’s age. Families are also responsible for confirming that the student has the necessary internet access, device access, and platform access for the session.
Tutoring is an educational support service, not a guarantee of grades, admission outcomes, test scores, credit completion, or any specific academic result. Families remain responsible for the student’s broader academic decisions, school requirements, assignment submission, attendance, exam preparation, and supervision.
Families are also responsible for student supervision, transportation, and pickup arrangements for in-person sessions. Public libraries, transit routes, parking areas, and other agreed public locations are not controlled by Academic Tutoring Toronto. To the maximum extent permitted by law, Academic Tutoring Toronto is not liable for personal injury, property damage, theft, travel-related issues, or the acts or omissions of third parties occurring at or around those locations or while travelling to or from them.
To the maximum extent permitted by law, Academic Tutoring Toronto is not responsible for indirect, incidental, special, or consequential losses arising from the use of the service, including missed opportunities, academic outcomes, travel issues, connectivity issues, or scheduling disruptions outside our reasonable control. If we are found liable for a booking-related claim, our aggregate liability will be limited to the amount paid for the affected session or the unused portion of the affected package, as applicable.
If we cannot staff your booking request substantially as submitted, or if we later become unable to provide the booked session for reasons within our control, we will contact you and offer one of the following: a reasonable reschedule, account credit, or refund for the affected session or unused portion of the package. This is the default resolution when availability or staffing fails on our side.
Families should provide at least 24 hours' notice for rescheduling requests whenever possible. If a family cancels on the same calendar day as the tutoring appointment, a 50% late cancellation fee may apply for the affected session because the reserved tutor time is unlikely to be rebooked on short notice.
If a tutor cancels, fails to attend, or a session is otherwise cancelled by us, the family will not be charged a late cancellation fee for that session. We will work with you on a replacement session, credit, or refund as appropriate to the circumstances.
For completed sessions, any refund or service concern must be raised within 12 hours after the scheduled session ends. After that window, the session will normally be treated as final. Approved credits, partial refunds, full refunds, or scheduling adjustments are handled case by case based on the facts, including whether the issue involved service quality, attendance, timing, or a mismatch with the confirmed booking.
